The Exhibitor's Usukicon

by phadalusfish

--------

Good evening, everyone.

As you may or may not be aware, my name is Amalia, of Amalia's Rare Goods Emporium, based here in Neopia Central. I have the honor of being the exhibitor liaison for this year's Usukicon, and, as I'm sure you know, the success of this event depends almost entirely on you, our collectors.

You're receiving this Neomail because it's been brought to my attention by others in the rare goods industry that you have a keen interest in the Usuki market, including a vast store of knowledge and an extensive collection. Both of these things are essential to participants' enjoyment of the event. Additionally, it has been brought to my attention that your interest in the Usuki market has a financial twist, which is to say, you're interested in buying AND selling. Because of these factors, I'd like to cordially invite you to exhibit your wares at this year's event. The rest of this Neomail should explain everything you need to know to make the best decision for your business.

Booth Space

We've secured nearly 5,000 square meters of space on the third floor of the Neolodge. This space has been divided into several areas, and each of those areas has been further divided into booths (please see attached diagram) of varying sizes. The price of each booth depends on a combination of two factors, size and placement. Based on sales data from the past years, we can safely say that booths placed closer to entrances to the hall and the in-room concession stand (more on this later) get more visitors, and therefore we must charge a premium for this booths. They are highlighted in green on the diagram. Booths in less desirable places are discounted from their premium per-square-meter rate. The cheapest booths are marked in red on the diagram. Yellow and orange areas are priced inside the red-to-green range according to the following chart:

  • Green areas: 15,000 NP/square meter
  • Yellow areas: 12,500 NP/square meter
  • Orange areas: 10,000 NP/square meter
  • Red areas: 8,200 NP/square meter

Rest assured that we have priced every booth to help maximize your profits.

If you need more space than the largest booth in your desired price range, we are happy to accommodate by combining adjacent booths for you. Because combining booths reduces the number of total exhibits this year's Usukicon can support, we're afraid we have to assess a surcharge equal to 10% of the total cost of the smaller of the two booths to perform this service.

Discounts on the per square meter rate are available for vendors who can demonstrate that they will draw a significant number of attendees to Usukicon by their presence. If we believe we can credit badge sales, or extra Neolodge room nights booked, to your participation in this year's event, we can offer 5%-15% off your booth rental fee. Displaying any of the following rare Usukis will garner the highest available discounts:

  • King Skarl Usuki
  • Werewolf Usuki
  • Rose Usuki
  • Usuki Reaper

Displays

Each booth comes with at least one two-meter table and two chairs. Larger booths include additional tables and chairs, and if the number of tables and chairs provided is not sufficient for your displays, extras may be rented from the Neolodge for an additional fee. If you'd like to inquire, please contact me directly.

Due to… incidents at previous Usukicons, we have put in place strict guidelines about what kinds of displays are acceptable. Anything made from the following materials is permitted:

  • Wood
  • Non-radioactive metal
  • Glass
  • Plastic

If your display is made from something not on this list, DO NOT bring it into the hall.

Badges

All Usukicon attendees, exhibitors, and volunteers are required to have a badge on them at all times. As part of your booth rental, two exhibitor badges will be provided at no charge. Additional exhibitor badges, up to four per booth, are available for your staff for 325 NP each.

If you wish to purchase additional regular badges, you may do so at a discounted rate of 430 NP, for up to 100 badges, 440 NP for badges after the hundredth to the five hundredth, and 450 NP for any badges beyond that. These badges are only good for normal operating hours, so any extra staff you may have with these badges will not be able to get into the event hall before opening to help set up.

Since the advance purchase rate for regular badges is 525 NP (available from the Neolodge front desk until the 12th of Hiding), purchasing extra badges is an excellent pre-event promotional tool. The on-site, day-of badge rate is 550 NP.

Catering

We have arranged to have Hubert, of Hubert's Hot Dogs, cater this year's event. He will have an in-room concession stand for maximum convenience, and his menu will include his most popular concoctions. Beverages will be supplied by NeoCola. We have also secured a special lunch deal for all exhibitors who wish to take advantage of it. For 2,500 NP per person, it includes your choice of regular, diet, or caffeine free NeoCola, two Toffee Classic, and your choice of two of the following:

  • Hot Dog
  • Watery Hot Dog
  • Ghost Hot Dog
  • Healthy Grass Hot Dog

Other Hot Dogs may be substituted for the above choices for an additional fee, at Hubert's discretion. This deal is available to any of your booth staff, and will be delivered directly to your booth between 1 PM and 2 PM. Additionally, meal tickets may be purchased for 2,750 NP and will be included when your booth is finalized. These are paper tickets good for the above meal deal (beverage, your choice of two hot dogs, and dessert) that will be provided to you when your booth is finalized. They may be redeemed at any time by presenting them to the concession stand, but because they are intended as a promotional tool for you to use to attract visitors to your booth, they CANNOT be sold or traded.

Because of the arrangements we have made with Hubert and the Neolodge, we regretfully cannot allow outside food and beverages at this year's Usukicon. In addition to Hubert's concession stand, there are many eateries within walking distance of the hotel, but I must stress again that no food or drink may be carried into the hall. Violating any food and drink policies may be grounds for immediate removal from Usukicon without refund.

Miscellaneous

This year's event promises to be the best Usukicon in history. We're extremely honored to have you as a potential exhibitor, and look forward to your reply. If you have any further questions, do not hesitate to contact me, day or night, at the address below. Space is available on a first-come, first-served basis, so be sure to have your applications (attached) in as soon as possible to insure you get the booth you want.

I look forward to seeing you on the 20th!
